1. Purpose
Taupaki Hall is a community facility available for community activities, meetings, celebrations, private functions, sporting and recreational activities, and film and television production.
Our aim is to make the Hall available to the community while ensuring it is used safely, respectfully and responsibly.
2. Bookings
All bookings must be made through the Hall’s booking process and include:
- the purpose of the hire;
- the name and contact details of the responsible hirer;
- the hire fee; and
- any required bond.
The hirer must be 18 years or older and is responsible for the Hall, guests, contractors and suppliers throughout the hire.
The committee may decline a booking if the proposed use is unsuitable, presents an unacceptable risk, or conflicts with another approved use.
3. Hire Fees and Bond
Hire fees and the bond are set by the Hall committee and may vary depending on the type and size of the event.
The bond may be used to cover damage, additional cleaning, rubbish removal, lost keys, unpaid fees or other costs arising from the hire.
4. Cleaning and Damage
The Hall must be left clean, tidy and in the condition in which it was found.
Hirers are responsible for cleaning the kitchen, toilets and floors as necessary, removing rubbish, and returning furniture and equipment to its original position.
The hirer is responsible for any damage caused during the hire by themselves, their guests, contractors or suppliers.
5. Alcohol
Alcohol may be consumed at private functions, provided all applicable laws and Auckland Council requirements are followed.
Alcohol must not be sold at the Hall.
The hirer is responsible for responsible alcohol management, including:
- providing food, water and non-alcoholic drinks;
- preventing alcohol being supplied to minors;
- taking reasonable steps to prevent intoxicated people continuing to drink; and
- ensuring guests do not drive while impaired.
The committee may impose additional conditions or refuse alcohol for particular events.
6. Youth and Young Adult Parties
Taupaki Hall will not accept bookings for parties or social events where the primary hirer or intended guests are under 25 years of age.
This includes 18th–24th birthday parties, school or university parties, end-of-school celebrations and similar young adult parties.
This restriction applies whether or not alcohol is being consumed.
People under 25 may use the Hall for organised community, sporting, educational, family or other approved activities that are not primarily youth parties.
7. Finish Time, Noise and Neighbours
Private parties and functions must finish by 11.00pm, with the Hall vacated and secured by 11.30pm. The booking time must include set-up and pack-down.
Hirers must be considerate of neighbours and keep noise at a reasonable level.
Guests must leave quietly, particularly at night. Any applicable noise-control requirements must be followed.
8. Safety
The hirer is responsible for the safety of their guests and must:
- not exceed the Hall’s approved capacity;
- keep emergency exits clear;
- not interfere with fire equipment; and
- report any accident, injury or significant damage to the Hall committee.
Smoking and vaping are not permitted inside the Hall.
9. Decorations, Furniture and Equipment
Decorations are welcome provided they do not damage the Hall.
Nails, screws, staples, permanent adhesives, glitter and confetti are not permitted without prior approval.
Hall furniture and equipment must be used appropriately and returned to its original position.
10. Film and Television Production
Film, television and photography bookings are welcome.
Commercial productions may have different fees and conditions depending on their requirements, including additional cleaning, equipment, vehicles, crew, catering or extended hire periods.
The committee may require a higher bond or evidence of appropriate insurance.
11. Cancellation and Refusal of Hire
The committee may cancel, refuse or terminate a booking where:
- the Hall becomes unavailable;
- the proposed use differs materially from the booking;
- the hirer breaches this policy;
- there is a significant health, safety or security concern; or
- the proposed activity is unlawful.
The committee may retain some or all of the bond where the hirer breaches the conditions of hire or causes damage or additional costs.
12. Community Use
Taupaki Hall is a community asset. The committee aims to provide affordable access for local groups, organisations, families and community activities while ensuring the Hall remains financially sustainable and well maintained.
13. Acceptance of Conditions
By making a booking, the hirer agrees to comply with this policy and accepts responsibility for the Hall and their guests for the duration of the hire.
